Contract: By agreeing to work with us, the Client agrees to the following terms & conditions.

​

​Communication: Email and text will be our primary means of communication. This means that all questions, changes, and information are documented in writing to eliminate potential for discrepancies. We respond to emails within 24-48 business hours. Clients are always welcome to call, email, or text and we will respond at our earliest availability. Clients are encouraged to schedule phone calls ahead of time in order to ensure our availability.

​Deposit: A 25% deposit is required at the time of booking to reserve your preferred date, time, and character(s) for your party. Booking payments and deposits are non-refundable. Payments are made via PayPal.

​

​​​Balance: The total invoice balance must be paid, at MINIMUM, 48 hours before your party. Gratuity is not required, but is a considerate way to thank your performer for a job well done.

​

CLIENT RESPONSIBILITIES FOR PERFORMER ACCOMMODATIONS 

Client will: - Provide a safe and appropriate performance area - Ensure adequate space for the type of entertainment booked - Provide access to electrical outlets if required - Inform Provider of any special requirements or restrictions

1. Heat Advisory: Your performers can overheat quickly in these heavy costumes, please make sure they are not in direct sun, take breaks as needed and have opportunities to drink plenty of water.

2. Parking: The client shall provide complimentary onsite parking for all events.

3. All Performers require a shaded covered area to perform.

4. For Face Painting, makeup and glitter tattoos please provide a table and 2 chairs in a shaded covered area.

5. For Mascots or headed characters: please provide a place for them to change into costume.

 

​Additional Time: The client understands that a timely departure is necessary in order for the performer to safely commute to his or her next event. If you would like a performer to stay longer than their originally scheduled time, and their schedule allows for such, additional time may be booked by filling out the Additional Time Slip provided by your performer. Payment must be sent via PayPal at the time of request in order for performers to stay. If payment is not sent upon request for additional time, performers will leave at their originally scheduled end time.

​​​Smoking: The costumes property, and performers of Frog Princess Party Co. may not be subjected to smoke of any kind. Smoke can damage our costumes, wigs, and health of our performers. If a guest is seen smoking near your hired performer(s), the Client is expected to assure that the guest stops immediately and is removed from the performer's space.

​

​​Cancellations and Rescheduling: Upon receipt of your deposit, Frog Princess Party Co. performers commit exclusively to your event and decline all other booking for your preferred date and time.

• Bookings may be rescheduled free of charge if done 3 weeks prior to the event.

• Emergency Cancellations & Illness: If a client chooses to cancel a party due to unforeseen circumstances or illness, the event may be rescheduled free of charge for up to one month from the original event date based on availability.  

• If the client wishes to reschedule more than once, or within 3 weeks (21 days) of the scheduled event date, then the client will be subject to a 20% rescheduling fee.

• Changes made to the event within 3 weeks (21 days) of the scheduled event date will incur a 20% last minute change fee.

• There will be no refunds for events that are canceled or rescheduled by the client.

• Creating a rain plan: It is the responsibility of the client to select an alternate, indoor location and notify the company of said location via email at least 3 days in advance of scheduled event date. New travel fees may apply and will be sent with a separate invoice. Frog Princess Party Co. must be informed that we will be using the alternate location for your party at least 2 hours before the performer's scheduled arrival time. Any outstanding travel fees must be paid via PayPal upon request for alternate location.

• Frog Princess Party Co. reserves the right to cancel or change performers/characters for any event due to serious or contagious illness or injury of the performer or the performer’s family. In this situation, we will do our best to find a new performer for your event. However, if we cannot, the booking deposit will be put towards a new event date and the client will receive a 15% discount.

​Activities: All activity options are listed on the website and available upon request. Unless requested for alternative activity options, the Performer(s) will perform the Package Activities listed under your party package. A Performer may alter activities if he/she sees the need during the party.

​

Last minute bookings:

• Booked 3-7 days prior to event:+$50

• Booked 48 hours or less prior to event : +$100

• Bookings placed 48 hours or less prior to event may not be accepted based on cast member availability. These parties must be paid in full at the time of booking.

​

Changes to Party Start Time: When you book Frog Princess Party Co., we do not need to know your party start time. We only need to know the time that you are seeking to book the character. Changes in character arrival time by request of the Client will be accommodated at the discretion of the booking team and are based on availability. 

​

​All Characters are Generic: We wish to express it is not our intention to violate any copyright laws. All characters are generic costumes and are not affiliated, licensed or associated with any corporation or trademark. Should you have the need for a licensed, copyrighted character for your event, we encourage you to contact the company/copyright holders for your specific targeted character. In addition, we only accept bookings from individuals that are aware that we do not represent any licensed characters.

Multiple Guests of Honor: If you have more than one child celebrating a birthday (ex: twins, friends sharing a party, etc.) you will need to pay extra to cover additional gifts (ex: crown, sash, ring, etc.) for each additional birthday child.

• 2 hours: $70

• 90 minutes: $60

• 1 hour: $50

• 30 minutes: $40
   

​Location: Proper accommodations will be provided by the Client. If rain occurs and the event has been scheduled outdoors, it is the responsibility of the Client to arrange for an indoor event. Water for each performer should be provided by the Client. For temperatures below 60 degrees, Fahrenheit or above 90 degrees Fahrenheit, the party must take place in an indoor venue. Activities may be affected depending on the conditions. Please have an inclement weather plan for your event.

​

Service Area: Parties within 20 miles of Frog Princess Party Co.'s office require no travel fee. Fess for parties that are more than 21 miles are outlined below. For parties that are farther than 40 miles from our office, there is a 1 hour minimum party requirement. This is subject to change if flight and/or hotel accommodations are required.

​

Travel Fees: Mileage is based from our Frog Princess Party Co. Headquarters location in the zip code 30135 (Douglasville, GA). Mileage is calculated at $1 per mile round trip. The client shall provide complimentary onsite parking for all events.

​Allergies: The client must inform Frog Princess Princess Party Co. of any allergies to food or products such as nail polish, latex, acrylics, temporary tattoos, or face paints prior to the event or party. The client understands that Frog Princess Party Co. and its performers are NOT responsible for any injuries or allergic reactions that occur at your event.

​

​Photo Release: Our assistants may take photos at your party and use them as a marketing or promotional tool on our social media pages. website or any other form of advertising (this also includes any photos you post publicly). If you do not want any pictures of your party released, you must specify this in your contract.

​

Pets: All pets, with the exception of service animals, must be contained away from the party area.

​

​Damage: We understand that accidents happen, however, the Client may be held responsible for any damage deemed EXCESSIVE to costumes and property of Frog Princess Party Co. during the Client’s event. The cost to replace/repair damaged/broken costumes or materials will be billed to the Client. If your event is outdoors and there is water involved, mud may damage the costumes and you will incur a fee.

​

Discipline and Non-Participation: The Performer is responsible for the flow of the event and activities. The Client is responsible for monitoring disruptive behavior and attending to any child who does not want to participate. If a child or guest at a party is being disruptive past a reasonable point the Performer has permission to change the party activities as needed OR to ask an adult at the party to escort the disruptive behavior away from the activities.

​

​Adults at Event: We ask that the parent(s) or guardian(s) of the birthday child please stay for the duration of the party to attend to the possible needs of the children. Adults are welcome to stay and enjoy the performance, but we ask that onlookers keep the noise level to a minimum so the children do not get distracted and can adequately hear instructions from the Performer.

​

Performer Preference: We do our best to cast every performer as accurately as possible. We will never send you a performer that does not resemble or share features with your character unless a Just Like Me party is requested. A Client’s performer request is based on availability of performers and is NEVER guaranteed or promised.

​

​Activities: Frog Princess Party Co. purposefully plans plenty of activities and games so that the performer maintains the children's engagement. If the Client has a request for the activity order preference they should make this known at least 48 hours before the party. If no preference is given, it is up to the discretion of the Performer to decide the activity order. All performers are trained to lead activities in the order they determine best suits the needs of their guests. The performer will do their best to complete all activities. However, if unforeseen circumstances do not allow all activities to be completed, performers may stay up to 5-minutes past the scheduled party end time to complete the activities at no additional cost.

​Liability: The Client agrees to hold and keep harmless Frog Princess Party Co. and its performers from any and all property damages and/or bodily injury damage caused by the Client or any/all guests. Frog Princess Party Co. nor any of its contractors or employees are responsible for any damages that occur to any persons or properties for any client or company.

​

​Safety: The safety of party guests and performers is paramount. If there is ever a situation where the performer(s) or assistant(s) feel unsafe, they may address the issue with the parent/guardian/client. If the issue is not resolved, the performer will leave. We hold the right to leave at any time due to safety concerns. This includes, but is not limited to, hostile language over texts and phone calls prior to the party. CHILDREN SHOULD NOT BE ALLOWED TO CLIMB, HANG FROM, KICK, HIT, OR OTHERWISE HARM A CHARACTER AT ANY TIME. Your character will be escorted out of your party if this happens and activities will immediately cease.

​

​​Assistant: If your party has a character assistant present, the assistant’s only role is to assist the character. Event assistants are not responsible for children and/or guests.

​

​​Your Event: Party details can always be found on your invoice and will be sent in an email confirmation at least three days prior to your event.

​

​Breach: Any breach in this contract automatically constitutes a cancellation of your party/event and any and all payments made to Frog Princess Party Co. will be forfeited by the client. ​

​

​In the extremely rare event that the following occurs, please be informed that Frog Princess Party Co. will do our best to rectify the situation:

• Tardiness: We give our performers an extra 30 minutes of planned driving time for every event, but unfortunately traffic and other incidents can occur. As we navigate to your party, we ask for your patience and will continue to give you ETA updates as we have them. We will always stay the full length of time that you have booked with us and will give you the following options to help amend the situation:

  • 1 – 30 Minutes Late: We will send your child a special card/note in the mail from their character, as well as a coupon for you.

  • 30 – 60 Minutes Late: We will refund you 10% of the cost of your party. We will also send your child a special card/note in the mail from their character as well as a coupon for you.

  • 60 + Minutes Late: We will give you the option to cancel the party for a full refund and give you a free 30-minute visit at a later date, OR we will still attend your scheduled party and refund you 50% of the total party cost.

• Emergency Cancellation by Performer: In the extremely unlikely event that we are unable to send the correct character to your party, we will make it right by offering you the choice of one of the following options:

  • We will give a list of characters available for your party you can choose from instead. In this instance your party will proceed as planned with the new character and the originally scheduled character will send your child a video wishing them a happy birthday as soon as possible, so that you may keep your planned party date.

  • If an “additional character” is the one who cannot make it we will give you the option to choose someone else in their place OR we will refund you in full for the additional character and send you a video from that character wishing your child a happy birthday as early as possible.

 

Disclaimer

By accepting the booking, you accept full responsibility for: 

1.  Assuring that all children attending the party are supervised by an in-room chaperon of at least 1 adult per 8 children 4 yrs or older and at least 1 adult per 4 children less than 4 yrs. And, 

2.  Explaining to each adult/chaperon the necessity and importance of keeping children in the party room and staying with and watching the children at all times to avoid the possibility of personal injury or damage to room, equipment, etc. I(We) on behalf of ourselves, our children, and our guests, assume the risks of any such liability and further release Frog Princess Party Co., its owners and employees, from any and all liability for losses, injuries, and damages arising directly or indirectly from the party. And, 

3.  Reimbursing Frog Princess Party Co. for any damages and/or losses due to party guests. And,

4.  Notifying attendees that Frog Princess Party Co. reserves the right to use any photos taken at the party for marketing purposes as desired, unless otherwise specified in client contract.  And,

5.  Timely payment as specified.
